1. Create Your Organization Account
Start as an Organization Leader. This role controls subscriptions, settings, and can create other organization admins.
Steps
- Go to the organization signup page provided by Plato Math support.
- Enter organization name (used to generate your login URL), contact info, and billing details.
- Submit to create your organization leader account.
Slug & URL
Your organization slug is generated from the name. Example: "ABC Tutoring Center" → abc-tutoring-center.
2. Find Your Organization Login URL
All organization users log in at your unique URL:
- Format: https://platomath.com/:organization-slug/login
- Example: https://platomath.com/abc-tutoring-center/login
Share this URL with admins, department heads, tutors, and students for organization login.
3. Create Students
Students receive worksheet access when the organization has an active subscription or free access.
Who can create students
- Organization leaders and admins (any department).
- Department heads (within their departments).
Steps
- Open Add Student.
- Enter name (email optional).
- Select department(s) to enroll.
- Save and copy the generated credentials.
Username & Password Rules
- Usernames are generated from names, unique per organization (e.g., john_smith, john_smith_1).
- Passwords are secure 8-character strings; shown on creation and viewable by authorized admins later.
4. Create Tutors
Tutors manage their assigned students' progress and worksheets.
Who can create tutors
- Organization leaders and admins (any department).
- Department heads (within their departments).
Steps
- Open Add Tutor.
- Enter name (email optional).
- Select department(s) to assign.
- Save and copy the generated credentials.
5. Assign Tutors and Students
Assign tutors to students
- Open the student's profile.
- Click Assign to Tutor and select from available tutors.
- Confirm to grant the tutor access to the student's data.
Move students between tutors/departments
- Admins can move any student; department heads can move within their departments.
- Students can have multiple tutors simultaneously.
6. Create Departments
Steps (Leader/Admin)
- Go to Manage Departments.
- Click Create Department.
- Enter a unique department name and optional description.
- Save the department.
Departments organize tutors and students. Names must be unique within the organization.
7. Create Department Heads
Department heads can create tutors and students within their departments and manage assignments.
Steps (Leader/Admin)
- Open Add Department Head.
- Enter name (email optional but recommended).
- Select one or more departments for this head.
- Save and copy the generated credentials.
8. Add Organization Admins
As the leader, you can add additional admins to help manage users and departments.
Steps (Leader only)
- Log in at your organization URL as the leader.
- Open Add Organization Admin from the dashboard.
- Enter name and email. The system will auto-generate a username and password.
- Save and copy the credentials shown.
Non-leader admins cannot create/manage other organization admins.

9. Share Credentials Securely
After creating users, the system displays their credentials for secure sharing.
- Use copy-to-clipboard and print-friendly layouts.
- Do not share passwords over insecure channels.
- Admins can view credentials later; encourage first-login password changes.
10. Confirm Subscription & Access
- Active subscription or free access enables worksheet access for all organization students.
- Leaders manage billing and can grant free access where applicable.
If the organization has no active subscription, students cannot access worksheets.

- Create leader account and verify organization slug/login URL.
- Add at least one organization admin.
- Create departments.
- Add department heads.
- Add tutors and students.
- Assign tutors to students.

12. FAQ & Troubleshooting
Where do users log in?
Always at your organization URL: /:organization-slug/login. Individual users use /users/sign_in.
Who can create whom?
- Leader: Can create all roles, manage admins, subscription, and settings.
- Admin: Can create department heads, tutors, students (not other admins).
- Department Head: Can create tutors and students in assigned departments.
- Tutor/Student: Cannot create users.
Why cant a user log in?
- Check if the user is active and using the correct URL.
- Verify organization subscription status.
- Admins can view/share the users credentials if needed.
